1. eduTrac SIS 6 0 00 Release Notes Introduction We are happy to announce release 6 0 00 This release is dedicated to Leonard Bernstein Bernstein was an American conductor composer and pianist noted for his accomplishments in both classical and popular music for his flamboyant conducting style and for his pedagogic flair especially in concerts for young people If you are interested in learning more about him check out the online encyclopedia http www britannica com biography Leonard Bernstein Most of the development time was dedicated to student accounts with is part of the financial module Please make sure to read through the release notes carefully before upgrading your system If you are hosting eduTrac SIS on your own server it is best to run through the update on a test system before running it on a live system If you are using any modules some may have been updated and will need to be re installed You will receive an email concerning which modules you will need to update House Cleaning In case you are not aware we are using a new system for tracking bugs and other issues If you encounter a bug have a feature request or have an enhancement request please add it to the issue tracker http trac edutracsis com projects edutrac sis issues If you have a problem that is not bug feature or enhancement related then please open a support ticket at the online user manual http www edutracsis com Anew developer web2. 3. after the drop add end date the tuition is not adjusted If your institution requires that an adjustment be made then you need to handle that manually If an adjusted is made to the tuition on SBILL it will not be adjusted for any student It will need to be adjusted manually If tuition is adjusted for a student the current tuition will be shown along with the adjusted amount The current and ending balances will be adjusted accordingly The student account history will also make the proper adjustment as well 2 Previous and next buttons have been added to the student billing screen for easier navigation between terms for the student 3 Fees can be deleted and re added if the fee has been adjusted on the billing tables screen or you can do a manual adjustment on the bill itself 4 Student account history activity is also available for the student to see when logged into his her account 2015 7 Media Web Solutions LLC All Rights Reserved 2 Tuesday July 28 2015 5 Apayment plan screen has been added If a payment plan exists for a particular student it will show up on the student account history activity along with any comments Please note that these comments can be seen by the student Person 1 Alternate ID field has been added to the Person screen This will allow for institutions to use their own standard for ID s The alternate ID only appears on the person table So you will need to include it in your queries if ne
4. cessary 2 Alast login field has been added to the person screen This will allow you to see when a person was last logged into the system 3 When creating a new person record you can check the Send username amp password to the user and the login details will be emailed to the user when the person record is created Please refer to the email templates section of the release notes 4 State and zip code are no longer required fields on the person screen This was to take into account international students Application Added username field to application screen If your institution uses a certain format for usernames you can make the adjustment on this screen When the username is updated an email will be sent to the user Please refer to the email templates section of the release notes Student When an applicant is moved to student an acceptance letter email can be emailed to the new student There is a toggle switch for this on the General Settings screen and the default is no Please refer to the email templates section of the release notes 2015 7 Media Web Solutions LLC All Rights Reserved 3 Tuesday July 28 2015 Student Program Updated Anticipated Graduation Date field to now allow the MM DD YY format Department Email and phone number have now been added to the department screen Student Course Section Registration date and registration time have been added to the stu_course_sec table Cronjob

10. site is currently in the works This site will document the classes functions actions and filters that are used throughout eduTrac SIS This will help developers understand the ins and outs of eduTrac SIS in order to write plugins and customizations If you are interested in getting involved with this project send an email to joshmac3 icloud com 2015 7 Media Web Solutions LLC All Rights Reserved 1 Tuesday July 28 2015 Student Accounts 1 Student accounts was basically rewritten in order to create a new student history activity screen which will show the students full accounting history with the institution A B New database tables stu_acct_bill stu_acct_fee stu_acct_pp stu_acct_tuition When a student registers for a course if a bill invoice does not exist one will be created for the student The information for tuition is pulled from the info that was entered under course section billing screen SBILL With regards to fees you still have to add them the same way and same rules apply as before If a staff member registers a student into a course the same applies as above During course registration tuition is added to stu_acct_fee and stu acct tuition If a student is registered into another course the tuition is adjusted accordingly If a student is dropped withdrawn from a course at anytime before the drop add end date the tuition is adjusted accordingly If a student is dropped withdrawn from a course at anytime
