1. gymnastics DaWOn Othe cores SPORT STARTS HERE 2015 2016 Beyond the Scores Process Note There are 2 sections to this document The first section is for Club Administrators those who monitor the BTS Club Profile and athletes as well as sending in competition registrations The second section is for those clubs who are HOSTING competitions SECTION 1 CLUB ADMINISTRATORS Step 1 Make sure all of your athletes age 7 and older are entered in your BTS Club Profile Step 2 Make sure you have a Competition Invitation E Mail associated with your Club Profile information on this is in the attached Beyond the Scores User Manual page 6 Step 3 Review Section 3 Invitations amp Rosters in the attached Beyond the Scores User Manual pages 29 39 Step 4 Be prepared to accept invitations from competition hosts and submit your rosters Competition hosts will be setting up their competitions in BTS shortly WAG timelines will be as follows Dec 30 2015 Jan 8 2016 Dec 30 2015 Jan 8 2016 Feb 3 2016 Feb 10 2016 May 4 2016 May 20 2016 WAG Level 3 5 Qualifying Invitationals and WAG Invitationals Competition hosts will send out their invitations to participating clubs individually Please respond accordingly in a timely manner SECTION 2 COMPETITION HOSTS LEVEL 6 10 QUALIFIERS TOUR SELECTION AND BOTH ONTARIO CHAMPIONSHIPS Set up your competition in Beyond the Scores more information in th2. Ontario There are many options regarding how to display the scores Your club is welcome to display the scores as you choose and not use the hardware system purchased by Gymnastics Ontario If you would like to explore different options other than renting the equipment from Gymnastics Ontario please contact the Events Coordinator to be sure the minimum standards are met
3. e Scores NO LATER THAN MONDAY OCTOBER 19 2015 Level 6 10 Qualifiers 1 to 7 Please set up your competition in Beyond the Scores NO LATER THAN FRIDAY OCTOBER 23 2015 Level 6 10 Qualifiers 8 to 13 Please set up your competition in Beyond the Scores NO LATER THAN WEDNESDAY DECEMBER 18 2015 However you can do this as soon as you want Level 6 10 National Ontario Championships NO LATER THAN MARCH 1 2016 Level 3 5 Ontario Championships NO LATER THAN MAY 1 2016 COMPETITION HOSTS LEVEL 3 5 WAG QUALIFYING AND INVITATIONAL COMPETITIONS Your club is responsible for all scoring aspects of the competition Gymnastics Ontario does not take part in any scoring responsibilities for Level 3 5 Qualifying meets or invitationals Please be sure to review the section MANAGE INVITATIONS to understand how to invite clubs to your competition Please note that the Events Coordinator can always be contacted for assistance Step 1 Go to MY CLUBS on the top left of the screen you need to click the small white arrow beside MY CLUBS and then the MY COMPETITIONS option will appear Step 2 Click on CREATE NEW COMPETITION top right of screen Step 3 Follow the steps to create your Gymnastics Ontario competition Step 4 You must select the PRO version You can then follow the steps to pay for the meet using PayPal There will be an immediate 35 charge to your credit card This amount will be credited to you when you a
4. e attached User Manual Step 1 Go to MY CLUBS on the top left of the screen you need to click small white arrow beside MY CLUBS and then the MY COMPETITIONS option will appear Step 2 Click on CREATE NEW COMPETITION top right of screen Step 3 Follow the steps to create your Gymnastics Ontario competition Step 4 You must select the PRO version You can then follow the steps to pay for the meet using PayPal There will be an immediate 35 charge to your credit card This amount will be credited to you when you are charged for the athlete participation at the conclusion of the competition For example if you have 250 athletes in your meet at 1 00 per athlete the amount charged to your credit card at the conclusion of your meet will be 215 S250 35 This charge will be in US Currency Step 5 Continue to follow the steps to set up the PLANNING stage only of the competition PLEASE NOTE FOR ALL WAG QUALIFYING LEVEL 6 10 COMPETITIONS TOUR SELECTION AND ONTARIO CHAMPIONSHIPS You are only responsible for the basic set up of the competition Please do not modify anything with the competition past the PLANNING stage date location etc Once you have set this up please inform the Events Coordinator and Program Manager who will then monitor the competition until the day of the event The host club scorer will take responsibility the day before the competition Timelines Tour Selection Please set up your competition in Beyond th
5. re charged for the athlete participation at the conclusion of the competition For example if you have 250 athletes in your meet at 1 00 per athlete the amount charged to your credit card at the conclusion of your meet will be 215 250 35 This charge will be in US Currency Step 5 Continue to follow the steps to set up your competition COMPETITIONS WITH 7 amp 8 YEAR OLDS 1 We will follow the same protocol as last season when setting up a competition for 7 amp 8 year olds 2 You must set up a separate competition in Beyond the Scores that only includes the 7 amp 8 year old athletes do not include them in your regular OCP age 9 competition 3 When setting up this competition you will select the free version 4 You will need to inform the Events Coordinator that you have set up this competition 5 The Events Coordinator will then contact Beyond the Scores to inform them that this competition will need to be changed over to a full access competition but will need to be blocked 6 You will not be charged for this competition PLEASE NOTE Beyond the Scores scoring program is mandatory for all level 3 5 competitions occurring between January 15 and May 1 NOTE For all Competition Hosts using Beyond the Scores You will pay the athlete fee directly to Beyond the Scores The only financial responsibility the host club will have toward Gymnastics Ontario is if you choose to rent the Beyond the Scores hardware system from Gymnastics
